Generally, what are the requirements of mapping a college campus and then using it for orienteering events? How is permission acquired, and along that line, who needs to be spoken with to secure those permissions?
It entirely depends on the school. Getting permission to make a map probably isn't a problem, especially if you are already affiliated with the school. Holding events will depend on the school's policy on having outsiders attend and what their insurance requirements are. For the U of A we have to have an official University Club sponsor the event, though I'm sure it varies from place to place. I'd probably start with some kind of student or club services and see where they point you.
I've had experience with events on two local campuses. One required nothing more than informing the school about the event. Another required registering as a university organization (some paperwork and the need to have a university-based individual as a contact/advisor); applying for an event (more paperwork); and attending an event committee meeting to answer any questions. Neither process was difficult.
The University of Washington requires departmental sign-off for any events on campus that are sponsored by an outside group (e.g., Cascade Orienteering Club.) Basically, in addition to filling out a Use of University Facilities form, a school/department head has to sign a brief statement explaining how the event furthers the work or mission of that department. The process for Registered Student Organizations was similar, but I think without the departmental sign-off requirement.
I agree with Cristina's advice to ask at the office responsible for student clubs or activities.
